Access Policy

 

Admission to the EUI Library is normally by means of a valid EUI Library Card.  The Library reserves the right to refuse admission to anyone without a valid library card or pass.

All users should read the Library Rules  and Conditions of Entry.  


People Eligible for Admission 

 Group I: EUI-associated Users

  • Former EUI members - Alumni Access Form 
  • Partners of EUI members - Partners Access Form 
  • Short-term visitors who are at the EUI for seminars, conferences, thesis defences, interviews or Institute meetings (they should ask their EUI hosts to provide them with a short-term Library Pass)

Group II: External users

  • Academic staff from the University of Florence
  • Academic staff from other universities
  • Doctoral students
  • Non-doctoral students researching a thesis

Temporary Library Passes are available only to former EUI members and invited short-term visitors at the EUI. Exceptionally, the Library Director may authorise access, for short periods, to users not belonging to any of the categories listed above.

 

How to Apply 

Group I: EUI-associated Users

Former EUI Members

Former EUI members are considered those who have been at the Institute for at least one academic year (researchers, fellows, faculty and administrative staff). To have access to the EUI Library, former EUI members must first complete the Alumni Access Form . Registration at the Library is necessary, whether the alumnus/a is member of the Alumni Association  or not.

  • Library cards will be issued for one year and may be renewed by repeating the application procedure.
  • Only those former EUI members resident in the Florence area will have borrowing rights, with a maximum of ten loans at any one time.
  • alumni will not have remote access to e-resources since this is not allowed by the library license agreements, but may consult them on-site (when physically in the Library)
  • Consult My Library Account  to see the expiry date of the loan account
  • alumni with borrowing rights failing to return books within the allotted time will be subject to fines  which, if unpaid, will lead to their borrowing privileges being withdrawn. 

Partners of Current EUI Members

Partners of current EUI members are entitled to access the Library, but do not have borrowing rights. To have access to the EUI Library Partners of current EUI members must first complete the Partners Access Form .

Partners of Researchers and post-doctoral fellows

Researchers and post-doctoral fellows can request an EUI partner card for their partner. This card includes access to the Library without registering each visit. Apply to: ken.hulley@eui.eu  (Academic Service).

Partners of other EUI Members

A Partners Access Form  should be completed. A library card will be sent to the EUI partner. The card is valid for one year (or until the expiry of the EUI partner's institutional status if less). Renewal is by re-application on the same terms.

Short-term Visitors

Short-term visitors who have been invited to the EUI for seminars, conferences, thesis defences, interviews or Institute meetings and who wish to use the Library can ask their EUI hosts to provide them with a Temporary Library Pass which they should present to staff on duty at the Library entrance.

 

Group II: External Users

Academic Staff from the University of Florence

Academic staff from the University of Florence are requested to complete the application form . A library card will be prepared for them within ten working days which they can pick up at the Library entrance by presenting their University of Florence staff card or some other proof of their university status (a self-declaration on the University's headed paper will be considered sufficient). The card will be valid for one year and is renewable by repeating the application procedure.

Academic Staff from Other Universities

Academic staff from other universities carrying out research for which the holdings of the EUI Library are relevant, will normally be granted access for a limited period of no more than three months. They should complete the application form  in advance, justifying the reason for and length of their visit. They will be informed in due course (usually ten working days) if their request for access has been granted and for how long. Library cards may be picked up at the Library entrance upon presentation of university ID or some other proof of university status. Justified requests for renewal will be considered.

Doctoral Students

Doctoral students carrying out research for which the holdings of the EUI Library are relevant should complete the application form , and return it to the Library together with a letter of presentation from their academic supervisor which may be sent by email or fax. The completed form should indicate the subject matter of the research and the desired period of consultation. The letter of presentation should also state the subject matter of the research.

If access is granted, library cards will be prepared and left at the Library entrance desk within ten working days of the presentation of the request to use the Library. Users who do not collect their cards before the expiry date will have to re-apply with another letter of presentation and completed application form.

Renewals. As a general rule, library cards for doctoral students are issued for a period of up to three months. A justified request for renewal may be granted on the basis of re-application plus a new letter of presentation.

Non-doctoral Students Researching a Thesis

Students carrying out research for undergraduate or master's theses for which the holdings of the EUI Library are relevant should complete the application form  online, and return it to the Library together with a letter of presentation from their academic supervisor which may be sent by email or fax.

The completed form should indicate the subject matter of the research and the desired period of consultation. The letter of presentation should also state the subject matter of the research.

If access is granted, library cards will be prepared and left at the Library entrance desk within ten working days of the presentation of the request to use the Library. Users who do not collect their cards before the expiry date will have to re-apply with another letter of presentation and completed application form.

If a library card is lost by an external user, it should be reported to the staff at the entrance desk or by email to library@eui.eu  . Replacement cards can be obtained for €10.  Library staff at the entrance desk will be happy to provide further information.

 

Conditions of Entry 

 

  • External and associated users are required to respect the rules of the EUI and to sign the register at the Entrance every day
  • External and associated users should present their EUI Library cards or Library pass to the librarian on duty every time they enter the Library
  • External and associated users, once admitted, may use all services of the EUI Library with the exception of loans services, the interlibrary loans service and restricted electronic resources. International copyright rules must be respected
  • Former EUI members and partners of current EUI members who have registered may use the Library on Saturdays. External users and short-term visitors are not allowed to use the Library on Saturdays
  • Users must respect the rules of the Institute. Failure to do so leads to immediate withdrawal of their Library card.
