What should I do about my library account when coming to the end of my stay at the Institute?
Before leaving the Institute, you should:
Return all borrowed library items (books, CDs, locker-keys, etc.)
Pay any outstanding fines
View your loan record to ensure that your account has been cleared of loans and fines
Those with library desk and/or locker privileges should clear them of all materials
What will happen if I still have borrowed items on my account when I leave the Institute?
All borrowed items are subject to the Library's normal regime of fines and billing. Items that fall seriously overdue are automatically billed to the user's account. If the Library decides to replace the missing material, the extra costs will be charged in full to the user's account.
If a user whose EUI membership has expired has been billed for failing to return books or other library items, the Library will bring the case to the attention of the EUI authorities to take whatever action they see fit. It is the policy of the Library and of the Institute to take all measures necessary to safeguard an important part of the patrimony of the EUI.
Please check your loan record before your departure to ensure that you have no outstanding loans or fines.
Desks and lockers are assigned for fixed periods of time and will be cleared of all materials if not vacated by the end-date. Locker-keys remaining on your loan record will be subject to the usual regime of fines and billing.
Your library account is not considered closed until all borrowed items are returned and all fines are paid in full. Until an account is properly closed, the Institute may withhold certain payments and facilities from departing users (see Library Clearance below).
Any fines outstanding at the time of expiry of your EUI membership will remain on your account. These fines must be paid in full before the Library will re-activate the account at any time in the future (for example, as an alumni user or as a visitor or fellow or professor).

Library Clearance is a statement from the Library that a user's account has been closed in a regular manner and contains no outstanding loans or fines. Such a statement is required by Academic Service before it will issue any certificates or diplomas to departing and former EUI members. It is also required by Personnel and Financial Services before authorising payment of removal allowances and other contractual final payments for staff members (both faculty and administration)
If you have asked for certificates or diplomas from Academic Service, then you must have returned all borrowed library items and paid all outstanding fines before the Library will send a statement of Library Clearance to Academic Service. As long as there are outstanding loans or fines, the Library will not provide a statement of Library Clearance and the Academic Service will not provide any certificates or diplomas.
It is the responsibility of all EUI members to ensure that they have no outstanding loans or bills before their departure from the Institute by checking their library accounts.
Yes. If you are a departing staff-member, whether faculty or administration, permanent or temporary, end-of-contract payments will not be made until you have requested and received clearance from a number of EUI services including the Library. A reminder is sent by Personnel Service to all departing contract-holders some months before the end of their contracts about the necessity of obtaining this clearance. Even if you have never used the Library or last used it some time ago, you must still request the Library to shut down your loan account. If you are a regular library user, you must return all borrowed items (including library materials purchased with research funds, or given on long-term loan such as dictionaries and manuals) and pay all outstanding fines.
As long as there are no outstanding loans or fines, the Library will provide Library Clearance to Personnel Service. It is the responsibility of the user to request in good time that the Library provide Library Clearance. The Library cannot take any responsibility for delays in closing a user's account caused by outstanding loans or fines.
Once an account has been closed, it will no longer be possible to borrow books or have off campus access to licensed electronic resources.
