FAQs about Workspaces and Lockers

Can I have a workspace to myself?

There are not enough workspaces for everyone to have their own, so we have to share. Workspaces are not allocated to individuals because even those who are absent apply 'just in case'.

The permanent presence of ‘ghost’ researchers at workspaces meant that desks were not getting used efficiently and some people were going without unnecessarily.

To counter this we introduced a community workspace system. We now allocate a group of people to a group of workspaces in a room and ask them to share them out amongst themselves.

In theory, this means there are about twice as many people as workspaces. In practice, there are almost always workspaces free. 

How do I choose a workspace community? 

Bear in mind that the Library is open Monday-Saturday 8.30-22.30.

There are also plenty of workspaces at Villa Schifanoia ("Garage", Sala Nyobe and Casale) - and in the Bank Corridor Room 21 at the Badia.

The rooms have all been renovated with wireless and LAN connections, open bookshelf space in some cases, and your own locker. 

First years in HEC and LAW should bear in mind that most of their obligatory seminars will be in Villa Schifanoia.   

Who allocates lockers?  

This is done by Academic Service with the assistance of the Reps where necessary

 

I am finishing my thesis. Am I entitled to special treatment? 

Generally speaking no, but if you are having problems it is important that you contact the Reps to try and find a solution.

What do I do when my community is full?  

This is unlikely to occur. On average, about 50% of all worksapces are occupied. Issues of occupancy should first be dicussed within your workspace community.

If your workspace community is often full contact the General Reps. Some shifts between the communities can relieve the pressure.

You can also ask for a transfer if you see that another community has more free workspaces at times you wish to work.

If a community is full, there are always the unallocated workspaces in the Library and in the computer rooms where you can work temporarily. 

Where do I leave my stuff?  

Only in a locker

 

What do I do if someone is using my workspace when I arrive?

No one can be using ‘your’ workspace since no workspace is ‘yours’. The workspaces are not allocated but used on a first-come first-served basis.

If the workspace you often use is occupied…well, you were beaten to it. There is no point getting possessive over shared facilities. 

What do I do when people are occupying workspaces without actually working?  

All workspaces must be cleared in the evening or whenever you finish work so that others can take your place.

This is why all communities have lockers, so please use them. If the issue does arise ask your workspace community first. 

You may be able to come to an agreement about the use of workspaces. If needed, contact the Reps.

What do I do if I want to transfer to another community? 

 
You can ask to do this at any time. Requests will be approved if the community you want to join is not overloaded.
