How can I find out my current print quota?
Every time you log in to the Network Printer you can check your print quota on the machine’s display. The number of prints remaining is shown under “Account Balance” on the bottom right of the display (above the Logout button).
What is my annual free printing quota?
Researchers, Fellows and Post Doc can print or photocopy 4200 pages per academic year, which is equivalent to 350 pages per month. Alumni can print or photocopy 500 pages per year and visitors are able to make approximately 350 photocopies/printouts per month.
When is my print quota renewed?
At the start of every academic year, usually in the first few days of September.
How do I add to my print quota?
First, you need to print and fill in the form found online: Personal Quota Increase Form
Second, go to the bank at the Badia to pay the amount indicated on the form.
Finally, send a copy of the receipt (given by the bank) to the printsupport@eui.eu and your printing rights will be adjusted accordingly soon afterwards.
How can I get additional print quota if I’m a researcher temporarily working for a project?
You should contact the secretary of your department/centre to fill in the request for additional printouts. See Departmental Quota Increase Form
Is it possible to carry over my remaining print quota to the following academic year?
No, at the start of each academic year the print quota returns to the initial amount. Print quotas cannot be carried over from one academic year to the next.
Is it possible to transfer my personal print quota to someone else?
No, you cannot transfer your print quota to someone else.
What happens if I try to print more copies than I have remaining in my print quota?
You cannot print more than your print quota. EUI machines will not print until you have purchased additional copies. See answer 4.
Even though I have sufficient copies left in my print quota, I’m not able to print and the following message appears: “Quota exceeded”
If this happens, please send an email to printsupport@eui.eu describing your problem so that the technician can resolve the problem as soon as possible.
What should I do if I need to print in colour?
You need to contact your department’s secretary who will be able to help you.
Why does the machine count two copies when I print double-sided on a single sheet of paper?
Because use of hardware, toner and technical assistance costs are no different, whether printing double or single-sided. When you print in duplex (double-sided) we save paper which is a very small proportion of the overall cost of printing. It is, however, very good for the environment!
I’ve lost or forgotten my EUI card. How can I print?
You can log in using your username and password; the same ones you use for your EUI email.
The only exceptions are the printers located on the lower ground floor (near sala Vasco de Gama) and second floor of the Library and the printer located in the Schifanoia terminal room. These printers need a card to login. With these machines you cannot log in using just a username and password.
What happens if the job I’ve just printed does not print correctly?
You need to send an email to printsupport@eui.eu in order to notify them about the problem. To have the incorrect printouts reaccredited to your print quota you have to send the damaged copies by internal post, marked ‘for the attention of Ricoh Print Support,’
Please be aware that Print Support will not approve refund requests in situations where multiple jobs have been submitted and no prior effort has been made to check that the printer was functioning and/or output qualitywas adequate.
How long will my jobs remain in the queue?
Print jobs stay in the print server queue for 24h after being sent.After this time, the jobs will automatically be erased and cannot be recovered. You are not charged for erased jobs; only for those jobs that are printed out.
How can I delete a print job?
You can delete a print job by pressing the “Reset print job” button on the network printer display.

How can I change the language on the network printers?
The default setting on the machines is English. To choose the other available language (French), you need to follow these steps:
I. Press the button on the top left “123”
II. Choose the language by pressing the button on the right of the display “Francais” or English”
III. Press “Exit” to confirm
IV. Once you have finished using the multifunction printer, you must reset the machine to its default setting (English language).
How many pages can I print at the same time?
There is no print limit in terms of pages; the limit is linked to the size of file: maximum 200 MB.
How can I print a file larger than 200 MB?
In this case there are two options:

You can divide the work into more than one part.

You can ask the secretary of your department/centre to send the job to the Print Shop.
How can I reduce my output?
There is little need to print multiple copies of output simply to review or proof read it. Review online, following these tips, to help reduce the amount of output you generate:

Use the built-in spell checker that most applications have to check for spelling errors (and grammar!).

Use the print preview option where available to see things such as page breaks, headers, and footers.

Don't print your job after every change you make. Work on your document for a while (saving it often!) and print only once for a final proofread.

Print duplex (double-sided), which is the default setting. Jobs printed single-sided cost more than a duplex-printed page and waste more paper.

Turn off graphics in Web browsers to minimize the number of pages in Web output.

Print 2 or 4 pages per sheet on a single sheet of paper.
My jobs all print on both sides of the page (duplex). How do I print jobs simplex (single-sided)?
Duplex (double-sided) printing is the default setting on EUI network printers. If you need to print a job single-sided, follow these steps:
1. Go to the File menu
2. Select Print
3. Click Properties
4. Select Off in the Duplex menu to remove double-sided printing
5. Click OK
6. Click OK to print the job.
How can I print from my own computer?
You need to map your computer beforehand to print on the Network Printers. Please follow the procedures described on the web page under the section “Mapping Network Printing on your laptop”: Multifunction Network Printers

How can I scan a document into a searchable text?
This function is available on four machines located: 1) on the ground floor of the Library; 2) at the entrance of the Common Room at the Badia; 3) in the terminal room of Villa Schifanoia; 4) on the ground floor of Villa San Paolo.
