Question:
Who is eligible for the annual travel payment?
Answer:

Permanent, temporary, contract staff, full time professors, and full time assistant professors who are entitled to the expatriation (16%) or foreign residence (4%) allowance are entitled to be paid each calendar year a sum representing the cost of travel from the place of employment to the place of origin for themselves and, if they are entitled to the household allowance, for their spouse and dependants.

  • Temporary and contract staff are entitled to the annual payment of travel expenses, only when they have completed at least 9 months' service.
  • Where a husband and wife are both employed by the Institute, each family member is entitled to one payment only. For dependent children the payment is determined at the request of the parents on the basis of the place of origin of one or other of them.
  • In case in marriage during a given year resulting in entitlement to the household allowance: the travel expenses payable for the spouse are calculated in proportion to the period from the date of the marriage to the end of the year. 
  • Changes in family status after the date of payment of the sums in question will not render the staff member concerned liable to make repayment.
  • Reimbursement of travel expenses for children:
    • aged less than 2 years during the entire calendar year: no allowance
    • above 2 years: full flat-rate allowance

N.B.: Reimbursement will no longer be determined on the basis of the shortest and most economical route via the railways first class or sleeper or flying business class or equivalent but on the basis of the (shortest) “geographical distance” between places.
