Office Proofing Language Missing or Fails Recognising Text

 

Problem

When you work in an Office application like Word or Outlook, either the Proofing Tool does not start or does not pick the correct Proofing Language.

Please Note: do not mistake this problem with the Keyboard and/or Input Language Keep Switching one which can lead to similar effects (by causing Keyboard Layout to change and consequently Input Language and thus Proofing Tool as well)!

 

Platform / Software Affected

This affects all Office versions (XP, 2003 and 2010).

 

Technical Explanation

MS Office, automatically tries to "understand" the language used by the user when typing a document, mail or presentation and may change the Proofing Language accordingly.

However, this  may fail in case:

• there is no Proofing Language installed for the user's Input Language
• the Proofing Language has not been added in the MS Office Language Preferences tool as part of the available ones
• Automatic Checking for Spelling and Grammar is turned off
• the text is too short

 

Solution

The solution depends on the source of the problem (please note some of below solutions apply to Office 2010 thus may vary slightly for different versions of the same software):

• if eligible, ask your local IT USer Support (Site Office) if the Proofing Tool for your Input Language is available for installation
• if already installed, add the language to the avilable editing languages via the MS Office 2010 Language Preferences tool
• if already added, check that Automatic Checking for Grammar and Spelling is turned on
• if already turned on, be sure to type at least a few sentences/lines of text (above all if more than one editing language is installed)
