Zoom Meeting/Webinar


Use for:

  • Online meetings with up to 300 participants
  • Interactive online meetings
  • Collaborative meeting with discussion in subgroups
  • Working groups
  • One-off workshops, seminars and training sessions

Features
/applications:

 

  • Moderator role
  • Gallery viewshare screen
  • Breakout rooms
  • Raise hand 
  • Polling

Make sure to:

  • Not share the meeting link publicly (to prevent cyberattacks)
  • Use a password for important meetings, and strictly only share it with invited participants
  • Use a waiting room to manage the entry of participants
  • Remind speakers/participants to mute their microphones when they are not speaking
  • Consider enabling the share screen option only for the host/co-host
  • Consider disabling the chat for everyone but the host/co-host

Notes:

  • For online events and conferences, Zoom Webinar is needed, an add-on to Zoom Meeting
  • Do not use Zoom for highly confidential or sensitive topics
  • During the first months of 2020, a series of vulnerabilities/security issues have been found in Zoom. As a consequence, some organisations don’t allow their staff to use Zoom.

  • Recurring meetings with at fixed group (team)
  • Ad hoc calls / direct calls
  • Confidential / sensitive topics
  • Collaborative sessions / working on shared documents

Make sure to:

  • Use Chrome or the desktop app
  • Add all members to the team if used for group work

Notes:

  • Recordings can have automatic closed captions/subtitles

Brightspace


Use for:

  • Online teaching or blended teaching (it is not a communication or collaboration tool)
  • Series of seminars, workshops, training sessions

Make sure to:

  • Prepare thoroughly from a pedagogical point of view
  • Create a rich educational experience for the students
  • Seek educational advice on how to construct your modules/training online prior to delivery of the teaching/training

Notes:

Brightspace is the EUI’s Virtual Learning Environment (VLE) platform for online and blended teaching and learning. It is a system delivering learning materials to students via the web using many different tools. Students have access to material both on and off-campus, 24 hours a day, seven days a week for a fixed period of time and can engage with the faculty and each other. The software used for the video assignments and virtual classroom features is Bongo.

Use for:

  • Recurring webinars and conferences with up to 500 participants

Features

  • Interactive elements like polls, document sharing, whiteboard, presentations are available also simultaneously
  • Participation control via powerful built-in tools
  • Additional level of security ensured by tailored permissions assigned to individual participants

Make sure to:

  • Carefully arrange all the details, including the organisation of roles
  • Allow only registered participants
  • Not share the meeting link publicly (to prevent cyberattacks)
  • Use a waiting room to manage the entry of participants
  • Remind speakers/participants to mute their microphones when they are not speaking
