365 Mail Move FAQ

Q: Does my mailbox have to be moved?

A: Yes. The Office 365 upgrade is imposed by Microsoft. All EUI mailboxes (personal and impersonal - such as Project or Service mailboxes) are scheduled to be moved during the weekend of 16/17 June 2012.

Q: When is my mailbox going to be moved?

A: All @eui.eu mailboxes are scheduled to be moved over the weekend of 16/17 June 2012. There is no way of knowing exactly when any individual mailbox will be moved.

Q: Do I risk losing any of my messages or other mailbox items?

A: Microsoft assures us that the migration procedure is safe. There could be delays in the delivery of incoming messages during the actual time that your mailbox is being moved.

Q: I have my EUI email forwarded to a third party provider. Will it continue to be forwarded after the move?

A: Forwarding should resume as previously configured once the move is completed. During the actual time that your mailbox is being moved there may be delays in the receipt of forwarded messages.

Q: I use Gmail and have the Mail Fetcher download my messages from my EUI account. Will it continue to work after the move?

A: You may have to reconfigure the Mail Fetcher. In any event, after changing your EUI password in preparation for the move, you will have to enter the new password in the Mail Fetcher.

Q: Will my PSTs, folder permissions, Send-On-Behalf-Of rights, etc. remain after the move?

A: Your PSTs, folder permissions, additional mailboxes, rules, etc. should remain unchanged. It is possible that in the aftermath of the move certain settings might be temporarily lacking for some mailboxes. These will be centrally reinstated, however, very soon thereafter.

Q: What are the pre-requisites for Office 365?

A: The main pre-requisite is to have changed your password after 31 March and before 14 June 2012.

As far as using the new system is concerned, your PC must have these minimum requirements:

Operating system:

  • Windows 7 Enterprise, Professional, Ultimate RTM and above
  • Windows Vista Business, Enterprise, Ultimate Service Pack 2 and above
  • Windows XP Professional Service Pack 3 and above with RPC over HTTP Update and Microsoft .NET Framework 3.0+
  • Mac OS X 10.6 (Snow Leopard) or above with Java client 1.4.2
     

E-mail client:

  • Microsoft Outlook 2010
  • Microsoft Outlook 2007 (SP2) or later
  • Microsoft Outlook for Mac 2011
  • Microsoft Outlook 2008 for Mac and Microsoft Entourage 2008 Web Services Edition

Browser for WebMail portal (Outlook Web Access - OWA):

  • Internet Explorer 7 or later
  • Firefox 3 or later
  • Safari 4 or later
  • Google Chrome 3 or later

Q: What happens if I don't meet the pre-requisites? 

A: If your PC does not meet the minimum requirements, you will not be able to use WebMail or Outlook with Office 365.

If you fail to change your password within the time limits stated, you will not be able to sign in to Office 365 and multiple steps will be required to make the change after transition. See What Happens if the Pre-requisites are not Met?

Q: I have my EUI email forwarded to a third party provider. Do I still need to change the password?

A: If you are an active, on-campus user, then changing your password is strongly suggested, otherwise you may soon have a discrepancy between email password and EUI password. If you are off campus and do not use any other EUI resource (VPN, Forum, G: drive, Library, etc.), then the password change may not be needed although still strongly suggested due to security reasons.

Q: What do I have to do with my EUI BlackBerry? 

A: EUI Blackberry service will be interrupted at the moment the user's mailbox has been totally migrated (which will be different for every mailbox during the weekend), All EUI Blackberrys will be individually reconfigured between Monday and Tuesday following the transition. Users will be contacted to arrange an appointment with the technician.

Q: What do I have to do on my iPad, iPod, iPhone? 

A: The device will need to be reconfigured. See Configuring iPad for Use with 365 in Exchange Mode.

Q: What do I have to do on my Android smartphone or tablet?

Q: What do I have to do with my email client?

A: Whatever email client you use, it will need to be reconfigured to connect with the new mailserver. Refer to 365 Mail Client Configuration Settings.

Q: When I try to login to the Webmail via the link on the EUI homepage, I am asked to login to a new/different website: is this a phishing attempt?

A: No. After the move, if you click on the old WebMail link, you will be automatically redirected to the new Office 365 WebMail. The link on the EUI Web pages will subsequently be updated.
