Introduction:
This document provides answers to frequently asked questions about the practical aspects of your fellowship. FAQs are divided into two sections: general FAQs, applicable to all fellows, and category-specific FAQs.
Please refer to the section that corresponds to your fellowship category: Jean Monnet Fellows, Max Weber Fellows, Institutional Fellows, Simone Veil Fellows, or Visiting Fellows.
General FAQs for All Fellows
1. Working Spaces & Booking System
A: The Centre provides tailored workspace solutions to meet the diverse needs of its academic colleagues.
Some fellows have access to flexible workspaces that can be booked via an online system. The relevant booking link will be shared at the beginning of the academic year.
Please ensure you use the booking platform assigned to your workspace arrangement.
Lockers are also available at Villa Schifanoia’s canteen area for added convenience.

A: Depending on your workspace assignment, you may need to use a booking system to reserve your desk or office. Instructions and links will be provided at the beginning of the academic year.
2. Updating Your Online Profile
A: Please update your online profile with a biography (max 300 words), a recent high-quality photo (minimum 800 x 800 pixels with a neutral background), and any other useful information. Then, send your bio and photo to [email protected] along with your consent to use your data.
You can also complete the online consent form provided on the website.
3. Absences, Missions & Travel
A: If you are planning a mission or research-related travel, please submit a Mission Order Request via the online platform at least 7 working days in advance. Ensure you have obtained the necessary internal approvals from Elena Cau before submitting your MOR and follow the reimbursement guidelines using your EUI account.
A: For non-work-related absences lasting more than 4 working days, please inform Elena Cau promptly.
4. Publications & Dissemination
A: Fellows are encouraged to produce research outputs during their stay (e.g., working paper, journal article, book chapter), and to disseminate them through the EUI’s platforms where appropriate. Please ensure you acknowledge your affiliation with the Robert Schuman Centre.

5. Administration, Printing & Stationery
A: Your EUI ID card may be credited with an initial printing quota, depending on your fellowship. Additional printing credits can be purchased if needed, following the guidelines on the Printing & Photocopying Policy webpage.
For stationery needs, basic supplies can be obtained from the porter’s lodge, and for more specific requests, contact Sarah Bernstein.

7. Events
A: Fellows are warmly encouraged to participate in the Centre’s academic life, including attending and presenting at the Robert Schuman Seminar Series, which usually begins in October.
Detailed information about the event calendar and participation guidelines will be shared at the start of the academic year.
8. Academic Calendar & Closure Dates
A: Refer to the academic calendar for key closure dates.
Key closure dates include:
- All Saints’ Day: 31 October 2025
- Winter Holidays: 22 December 2025 – 4 January 2026
- Easter Break: 2 – 7 April 2026
- Labour Day: 1 May 2026
- Summer Holidays: 3 – 16 August 2026
Category-Specific FAQs
A. Jean Monnet Fellows
1. Working Space & Access
A: For this academic year, some JMFs are provided with hot desks, which means they can also benefit from the flexibility of booking a workspace online.
The system ensures that available spaces are allocated fairly, while any JMFs not assigned to hot desks may have alternative arrangements in place.
2. Language Correction Services
A: Yes. Jean Monnet Fellows staying for the full academic year are entitled to have one academic text (up to 10,000 words) corrected in English at no charge.
Send your paper, based on research during your stay, to Sarah Bernstein.
3. Mission Funding
A: Jean Monnet Fellows may receive up to €650 per academic year for research missions. To apply, send a detailed funding request to Elena Cau.
Upon approval, fill in the Mission Order Request form at least 7 business days before departure, selecting Sarah Bernstein as the administrative assistant.
4. Publication Requirements
Yes. Research conducted during the fellowship should ideally lead to a publication.
Please submit any working papers to your mentor within three months after the fellowship concludes.
If you publish elsewhere, forward your publication details to Elena Cau for record keeping and ensure that your affiliation with our Centre is appropriately acknowledged.

5. Travel Expense Reimbursement
A. You are eligible for travel expense reimbursement for both the incoming journey (from your place of origin to the Centre at the start of your fellowship) and the outgoing journey (from the Centre to your destination at the end of your fellowship).
To claim reimbursement, please submit your travel documents (tickets, boarding passes, receipts) through the designated online platform available with your EUI account, making sure that you adhere to the submission deadlines.
Note also that if your fellowship finishes at the end of August and you depart prior to the end of July, reimbursement for the outgoing travel may not be granted, in accordance with EUI guidelines.
More information on this procedure will be provided via e-mail after your arrival and prior to your departure
6. Office Departure and Key Return
A: You must vacate your office and return the keys by 31 August 2026.
B. Max Weber Fellows
1. Working Space & Access
A: This academic year, MWFs are provided with hot desks that can be booked online. Information on how to book a workspace is sent via email at the start of the academic year.
2. Mission Funding & Language Services
A: For language correction services, please reach out to Alyson Price under the Max Weber Programme.
3. Publication Process
A: Similar to the requirements for Jean Monnet Fellows, manuscripts submitted through Cadmus must acknowledge your fellowship.
Please consult the RSC guidelines for publication formats and ensure your manuscript is not simultaneously submitted to multiple working paper series unless you have obtained prior approval.

C. Institutional Fellows
1. Working Space & Access
A: Institutional fellows are allocated offices that provide a private and tailored workspace.
A: Each office is fully equipped with modern peripherals such as a docking station, screen, keyboard, and mouse, ensuring that Institutional Fellows have all the necessary tools for their research and collaborative projects.
2. Working and Administrative Issues
A: Similar to the general instructions, update your EUI profile with current data and follow internal communications for any changes.
A : Fellows at the EUI enjoy a supportive environment that goes beyond merely providing a physical workspace.
For instance, Fellows are offered designated workspaces, where they have the opportunity to immerse themselves in the RSC community. This includes access to research facilities and participation in a range of activities such as seminars, workshops, and colloquia.
Additionally, the EUI facilitates integration by encouraging Fellows to connect with other researchers and become involved in broader academic endeavors.
3. Publications & Event Participation
A: There are no mandatory publication requirements, nor is attendance at events like the RSC Seminar Series compulsory, especially for Institutional Fellows. However, we encourage everyone to disseminate their work and take advantage of the opportunities that events may offer.
Guidelines on how to share work outputs are available, and details about the seminar series (and other events) will be posted on the Events page as individual seminars are published.
D. Simone Veil Fellows
1. Working Space & Access
A: Simone Veil Fellows enjoy the benefit of offices designed to offer a quiet, personalised workspace.
A: These offices come equipped with essential equipment—a docking station, screen, keyboard, and mouse—to support their research objectives while still allowing for community interaction when needed.
2. Publications
A: While fellows are encouraged to share their research outputs, submissions to the RSC working paper series are particularly welcome.
Ensure you follow the submission guidelines provided by the Centre. Additionally, once your work is published, deposit a copy in the EUI institutional repository and send the publication details to Cadmus.

E. Visiting Fellows
1. Workspace & Access
A: Visiting Fellows have access to hot desks and shared research facilities, while private offices are not guaranteed. Workspace availability is managed through an online booking system. Access details and further instructions will be provided at the beginning of your stay.
A: Yes. Visiting Fellows are not accepted in August.
2. Financial and Administrative Support
A: No. Visiting Fellows must be fully self-funded throughout their stay.
A: Yes. All Visiting Fellows must be supported by a faculty member from the Robert Schuman Centre in order to be accepted.
3. Participation in Academic Life
A: No, however Visiting Fellows are actively encouraged to engage in the academic life of the Centre, including attending and contributing to seminars, workshops, and other events.
