Printing Services Policy

MultiFunction Printers (MFP) are available to all users with a valid EUI account.

All printers allow for copying, printing and scanning (including optical character recognition) after waving one's EUI card over the card reader on the right side of the machine, or by inputing one's username and password directly onto the touchscreen of the printer.

 

 

Cost of the Service

Printing and copying has a "cost" depending on the format, that is type (black and white or colour) and size (A4 or A3), of the page to be printed and/or copied.

The cost is deducted from one's Print Quota (see further below) only once the printing or copying process is started (see Print Jobs for details).

The cost of each print job is shown on the display of the MFP (on the right side in the Follow-You Printing pane).

Scanning has no cost, however print credit must be available on one's account to get the process started.

Print jobs which are cancelled from the printer before printing (from the Follow-You pane) are not charged.

The "cost" of each page is fixed by a public tender and is valid until the end of the contract (end of December 2027):

Print Quota

A sufficient amount of Print Quota is automatically assigned at the beginning of each academic year and/or upon arrival at the EUI.

The quota has an economical value and is denominated in Euro: it can thus be considered as a virtual wallet which holds the total amount available for copying and printing. For each copy or print job succesfully released by the printer, the according cost is automatically deducted from the "wallet" (see Print Jobs for additional details).

There is no separate quota for B/W and colour pages: the available quota can be freely used to print either or. However, for some categories of users, there is a cap for colour pages (see further below).

Any remaining quota from the previous year cannot be refunded, transferred nor carried over from one academic year to another with the exception of additionally purchased print credit (see Additional Print Quota further below).

The print quota allows for both free B/W and colour copying/printing as long as the credit lasts. Users with unlimited quota have a cap set on the amount of colour pages (see further below for details).

As a mere example, 15.00 Euro will allow for:

  • approx. 300 B/W A4 pages; or
  • approx. 63 colour A4 pages

The yearly quota freely available to Researchers, equal to 180.00 Euro, will allow for as a mere example:

  • 3,600 B/W A4 pages; or
  • 3,000 B/W A4 pages and 125 A4 colour pages

The available credit can be checked anytime by logging into any MFP: the balance is shown in the top right of the Follow-You Printing pane, under your login name.

The print quota is covered for by either the ICT Service, your sponsoring Unit (Department, Project, Service, etc.) or personally and differs depending on staus/affilitation/sponsoring unit:

Academic Staff

Each full-time academic staff member is entitled 360.00 Euro print quota, save for a 300 colour pages cap, per academic year.

The initial quota is covered for by the ICT Service.

Administrative Staff

Each administrative staff member is entitled 360.00 Euro print quota, save for a 300 colour pages cap, per academic year.

The initial quota is covered for by the ICT Service.

Alumni

Alumni can purchase quota via online myPrint portal.

The quota is covered for at the user's expense.

External Collaborators

Printing rights and the amount of quota (tipically 15.00 Euro/month) for External Collaborators (such as out-sourced staff, external project collaborators, etc.) must be specifically requested by the sponsoring Unit's coordinator.

The quota is covered for by the sponsoring Unit or the ICT Service depending on the nature of the collaboration.

Fellows

Each Fellow is assigned 180.00 Euro per academic year (or 15.00 Euro/month for shorter stays).

The initial quota is covered for by the ICT Service.

Additional quota can be purchased via online myPrint portal.

Fellows of the School of Transnational Governance

Each STG Fellow (currently only Young Policy Leaders Fellows) is assigned 180.00 Euro per academic year (or 15.00 Euro/month for shorter stays).

The initial quota is covered for by the School of Transnational Governance.

Additional quota can be purchased via online myPrint portal.

Guests

Guests to the EUI (without an EUI account), including Libray Guests, can create a printing account (EUI myPrint account) and purchase printing credit by credit card via online myPrint portal.

This will allow to print and do copies on any public MultiFunction Printer at the EUI.

IMPORTANT: guests are not allowed to scan from any printers!

The quota is covered for at the user's expense.

Partners

Partners of EUI members can purchase quota via online myPrint portal.

Project Assistants

Printing rights and the amount of quota (tipically 15.00 Euro/month) for (researchers working as) Project Assistants must be specifically requested by the sponsoring Unit's coordinator.

The quota is covered for by the sponsoring Unit.

Project Managers

(Academic) Project Managers are entitled 360.00 Euro print quota, save for a 2,000 colour pages cap, per academic year. 

The quota is covered for by the sponsoring Unit or the ICT Service depending on the funding of the project.

Resarchers

Each Researcher is assigned 180.00 Euro per academic year with no colour cap.

The initial quota is covered for by the ICT Service.

Additional quota can be purchased via online myPrint portal.

Research Associates

Research Associates are entitled 360.00 Euro print quota, save for a 2,000 colour pages cap, per academic year.

The quota is covered for by the sponsoring Unit or the ICT Service depending on the nature of the project.

Retired Staff

Retired staff are granted 20.00 Euro per (academic) year with a 300 colour pages pages cap.

The initial quota is covered for by the ICT Service.

Summer School Students (e.g. AEL Participants)

Summer School Students, including AEL Participants, can create a printing account (EUI myPrint account) and purchase printing credit:

  • by credit card via online myPrint portal; or
  • by cash at the dispenser located behind the Library frontdesk (entrance floor) at the Badia Fiesolana

This will allow to print and do copies on any public MultiFunction Printer at the EUI.

Summer School Students are not allowed to scan from Library printers.

The quota is covered for at the user's expense.

Teaching Assistants

Printing rights and the amount of quota (tipically 15.00 Euro/month) for (researchers working as) Teaching Assistants must be specifically requested by the sponsoring Unit's coordinator.

The quota is covered for by the sponsoring Unit.

Trainees

Printing rights and the amount of quota (tipically 15.00 Euro/month) for Trainees must be specifically requested by the sponsoring Unit's coordinator.

Visitors

Printing rights and the amount of quota (tipically 15.00 Euro/month) for Visting Professors and Researchers must be specifically requested by the sponsoring Unit's coordinator.

The quota is covered for by the sponsoring Unit.

Additional Print Quota

Any additionally purchased print quota will be automatically carried over to the next academic year.

Please note that Print Quota can NOT be transfered from one account to another!

Staff Belonging to Administrative Units

Members whose print quota is fully covered by the ICT Service (tipically staff belonging to Administrative Units) may contact Print Support if their quota has run out.

ICT Service may ask for a justification if your jobs exceed 360.00 Euro per academic year.

Do NOT purchase any additional quota neither by paying at the bank nor via online portal! Any purchased extra quota will NOT be reimbursed!
 

Staff Belonging to Academic Units

Academic and Administrative Staff members belonging to academic units (including Project Managers and Research Associates), should contact the sponsoring Unit's coordinator to fill out the online Departmental Quota Increase Form accordingly.

The cost will be charged either to the Unit or other non-ICT source of funding (project, lumpsum, etc.).
 

 

Alumni, Fellows, Partners, Researchers and Retired Staff

Alumni, Fellows, Partners, Researchers and Retired staff members may purchase (additional) quota by paying with credit card via the online myPrint portal.

 

Project Assistants, Teaching Assistants and Visiting

Members with no initial amount of quota such as project assistants, teaching assistants and visiting should contact the sponsoring Unit's coordinator and ask to fill out the online Departmental Quota Increase Form accordingly.

The cost will be charged either to the Unit or other non-ICT source of funding (project, lumpsum, etc.).
 

External Collaborators and Trainees

Print quota requests for external collaborators and trainees should be addressed to Print Support by the sponsoring Unit's coordinator.

If the sponsoring Unit is Academic, the cost will be charged to the Unit; if Administrative it will be charged to the ICT Service.
 

Summer School Students

Same as Guests applies to Summer School Students (such as AEL Participants)

Guests

Guests to the EUI (without an EUI account), including Libray Guests and Summer School Students (such as AEL Participants), can purchase additional quota by credit card via online myPrint portal.

Please Note: any unused credit will not be reimbursed nor transferred!
 

 

Print Jobs

Once sent for printing, print jobs stay in the print server queue for 24h. After this time, they will be automatically deleted and cannot be recovered: the quota will not be charged accordingly.

Documents you wish to print several times during the day can be saved to the print queue for 24h for further printing (by selecting the printjob in the Follow-You pane and tapping on Print & Save). This is useful in order to avoid having to print a document from your software application each time you want to print it.

The quota is not charged for print jobs cancelled/deleted from the MFP prior to printing (from the Follow-You pane), either manually by the user or by the system after 24h.

If you want to print a job which is more than 100Mb in size, contact your Unit's coordinator for the job to be submitted to the Print Shop instead.
