I am organizing an event on a weekend (Saturday and/or Sunday), what shall I do ?

If your event is planned during a weekend, as reported in the EUI Events Organization Guidelines, you should follow the appropriate procedure:

  • Request the presence of a building officer by sending an e-mail to [email protected]. The request shall be sent at least 2 weeks in advance;
  • Consider the presence of Tecnico Sale (only if needed) by sending an e-mail to [email protected] . The cost will be charged on the event budget;
  • Give a mobile phone number to Luca Di Rocco in case of need (availibility must be guaranteed).

 

 

I am organizing an event outside EUI working hours, who shall I inform ?

Please first consult opening/closing times of EUI premises, then follow the appropriate procedure as reported in the EUI Events Organization Guidelines (see above).

 

 

Is it necessary to request additional sockets in conference/seminar rooms ?

No, it is no longer necessary, as extra sockets have been installed in all rooms permanently.

 

 

Who is responsible for preparing nameplates?

Nameplates for seminars, conferences, lectures, workshops, etc.... must be prepared and printed by the organizer of the event (i.e. secretaries) in A4 format and then sent to the Porter's Lodge of the concerned building at least 1 day (24 hours) in advance, in order to have them inserted inside nameplate holders.

  

 

How can I request WiFi accounts for the participants to a conference ?

Who takes care of the distribution of badges and/or other documents in the room ?

The Secretary/Organizer of the event in collaboration, where and if necessary, with porters.

 

 

Are Secretaries/Events organizers obliged to be present during the preparation of the room ?

Their presence is recommended during the set-up and preparation of the room, especially in case of distribution of additional material and/or nameplates to organize.
