Welcome to the PC Replacement Project page!

This page is entirely dedicated to the new (Windows-based) PCs and to their roll-out (installation) throughout the Institute.

This cumulative resource page is temporary and will stay up only until the project is fully completed (by end of December 2018), at which point all the documentation will be moved into the appropriate menus (Computer RoomsOffice PCsPolicy Documents, etc.) and/or EUI Helpdesk customer portal.

  • The scope of this project is to replace the 800+ office desktop PCs installed on the EUI campus
  • The final phase of the project, that is the physical replacment of the PCs, will start in July and will end by December 2018
  • Alongside, training will be provided in the form of open workshop sessions, as well as self-support in the form of brief video tutorials detailing the main new functionalities
  • The new PCs will be loaded with MS Windows 10 and MS Office 2016 and the base software line will introduce new tools such as Access, OneDrive, OneNote, Project and Publisher
  • The life-ciycle for the new PCs is set to a minimum of 4 years
  • The old PCs will be disposed of by the supplier as part of the tender contract

PCs will be replaced according to the below tentative schedule which has been agreed with Unit's coordinators:

Before

  • The exact day of the replacment has been agreed with the Units and notified to your Unit's Coordinator
  • You will be contacted by ICT Service a few days before the scheduled date
  • You will be asked to backup your locally stored work-related as well as personal data
  • You will be asked to provide us with the list of additional software you may need to carry out your work

During

  • Your presence is needed throughout the entire replacement process (min 1hr, max 4hrs)
  • We will take care backing up system settings like Bookmarks, Signaturs, Templates
  • We will set up the new PC with your working environment (Mail, Calendars, etc.) together

After

  • We will take the old PC away and properly dispose of it
  • We will securely wipe all data on the harddisk before the PC's dismissal

In order to facilitate PC replacement, you are kindly asked to take the following steps beforehand:

  • Clean-up your PC: delete unnecessary (old?) data from your PC in order to fasten backup time
  • Backup all your local data (including Windows' Desktop) either to the G: Drive or to removable media (CD, pendrive, external hard disk, etc.): we remind users that backing up one's data is the user's sole responsability!
  • Copy your local PST files (Personal Outlook Data Files) into your mailbox
  • Provide the ICT Service with a list, approved and justified by your line manager, of any additional EUI software you may need on the new PC; or
  • (if available) Prepare CDs for above-mentioned software and/or driver CDs for any additional device; or
  • If above-mentioned CDs are not available, inform ICT User Support in due time
  • Free up your computer and/or desk in order to facilitate old PC removal and new PC installation

Additionally, PCs in Public Rooms and those ones made available to Fellows and Visiting Staff (so-called Research Configuration) will feature the standard Research Software suite.
